What you’ll be called: Executive Assistant

Our ideal Executive Assistant is proactive and extremely organized. You are an excellent communicator with a strong attention to detail. You are assertive, thorough with follow up and looking to take ownership of projects that support the entire legal department.

What will you do?

  • Support General Counsel with meetings and communications, including scheduling, assisting with preparation for meetings, ensuring materials are ready, documenting pertinent details and assisting with follow up.
  • Coordinate travel and activities at events and conferences.
  • Assist with annual update and filings of the Franchise Disclosure Document.
  • Prepare the departmental annual budget and quarterly forecast updates for review.
  • Prepare monthly financial variance report.
  • Process all incoming invoices for payment.
  • Monthly credit card reconciliation.
  • Help maintain legal files.
  • Coordinate departmental meetings and events.
  • Represent legal department in the executive assistant group.
  • Handle and distribute legal correspondence.
  • Assist with processing complaints as needed.
  • Order and maintain office supplies for department.
  • Assist with other tasks for legal department.
  • Performs additional duties as assigned.

Preferred Experience:

  • Bachelor’s degree (B.A.) from four-year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience.
  • Familiar with Microsoft Office (Outlook, Word, Excel and PowerPoint), as well as Google Docs and Sheets.
  • Some legal experience/background preferred.
  • Executive assistant experience preferred.
  • Knowledge of real estate a plus.
